Management Policies and Procedures

This page explains the policies and procedures we implement to protect your property investment and to provide you with the very best of service.

Rent Collection

All rent is due on the first of each month and is considered late if received after the fifth of the month. Rent will be collected in our office, located at 519 Main Street, from the tenant. Management will be responsible for collecting and distributing rent monies through our client trust account. If the tenant does not pay rent, it is our responsibility to visit the tenant and send them a letter to collect rent.

Management Fee

We do not charge owners a one-time set-up fee.

Our monthly management fee of 10% is payable when rent is received. We give you the choice of receiving your money through direct deposit or by check. If you choose direct deposit, then you will receive a statement via email showing all payments and deductions. If you choose to have a check mailed to you, then you will receive a statement showing all payments and deductions along with your check. Please note: If tenant pays by check, it takes roughly 72 hours to clear my bank. Payment will be made to you only after the tenants check clears. We strive to have all owner payments to you no later than the 10th of the month. 

However, since one of our jobs is keeping your property occupied, we will not take our management fee as long as your property is vacant.

Vacancies

Vacancies are expensive for both of us. We make every effort to keep our vacancies to a minimum. Tenants must give me 30 days notice to vacate therefore you will be notified one month prior to any expected vacancy to determine what is to be done with the property.

Property Inspection

Our main job is to protect your investment property. We do this in two different ways. First, we make monthly drive-by tours of the properties we manage and verify that the exterior of the home is kept in good condition. It is stated in the tenants rental agreement that we have the right to make routine announced inspections; this will happen every 6-8 months. Tenants are always notified of an impending property inspection. During the walkthrough we look for any damage to the home and we also check for preventative maintenance items that are owner responsibilities. You will be notified if we find any problems.

Repair and Maintenance Services

Timely and competent maintenance is the key to protecting your investment. Our goal is to provide you with this important service at a reasonable price using only qualified personnel. Independent, outside vendors and contractors, not company employees, perform all repair and maintenance services. Each has been selected because of their ability to provide the best possible service. Emergency service will never be delayed due to lack of funds. You reserve the right to schedule and control any part of repair and maintenance requirements. Routine repair and maintenance will be performed as needed and will be based on urgency and importance. For any major job, we will obtain written estimates and present them to you before we proceed. If an emergency we will have the work done prior to obtaining any written estimate.

Pet Policy

It is our policy that pets are not allowed in the properties that we manage without consent from the owner. If the owner chooses to allow pets it must be written as to what pets will be allowed on the property and/or in the home. A Pet Deposit of $250.00 per pet will be charged unless the owner determines an amount otherwise. This deposit will also be held in companies security deposit account. Any pet deposit received is fully refundable as is the security deposit on the home.

Leasing

We want good tenants just as much as you do. We pride ourselves in the quality of tenants we are able to attract. Our extensive tenant screening and lease procedures help to ensure this.

Applicants are required to complete a rental application in order to verify employment, rental history, credit, criminal history and references. An application fee will be charged to the prospective tenant to cover for the cost of a credit and background check.

Once a tenant’s rental application has been approved, appointments are made with Management to sign the rental agreement. We have found that this additional personal attention greatly reduces misunderstandings and eliminates potential problems. This also gives us a chance to answer any questions and to carefully explain the tenants responsibilities.

Security Deposit

For additional protection, appropriate security deposits are always collected, typically an amount equal to one months rent. This is not to be used as a last months rent and is to be held and distributed appropriately by the company. All deposits are collected and held in a separate security deposit account, non-interest bearing. Within 30 days of vacating, a written accounting along with any security deposit return must be sent to the tenant. A copy of the written accounting sheet will be kept with the tenant file along with a copy of the check sent and any invoices.

Cleaning Policy

At the initial takeover of any new property, it will be required that all necessary repairs are completed and the house be thoroughly cleaned, including carpet cleaning by a professional carpet service. We ask that all light bulbs are in working order, batteries are checked in smoke detectors and carbon monoxide detectors and vent filters are changed. At the time a tenant vacates, they will be expected to leave the unit in the same or better condition, including professionally cleaned carpets.
